Pilot Travel Centers LLC and its owned and operated subsidiaries and affiliates (“PTC” or “us”, “we”, “our”) has developed this Privacy Notice to explain how we may collect, retain, use, process, share and transfer your personal data when you entrust us with it, whether that’s during interactions with our websites or mobile apps, the use of any of our services, or when you visit any of our locations. This Privacy Notice is designed to help you obtain information about our privacy practices and to help you understand your privacy choices.
We are committed to keeping privacy design and principles at the core of our business. Our commitment applies to everyone who has a relationship with us - including our team members, guests, customers, partners, and website visitors. We are committed to providing you with the best overall experience in all of our products and services. For the avoidance of doubt, this Privacy Notice applies to all your interactions as a consumer (guest or customer) with PTC, both on and off-line, whether you access our webpage, use our mobile application, interact with our Electronic Platform (as defined in our Terms and Conditions), participate in the Loyalty Program, or visit our travel centers, service centers, or other locations. This Notice does not apply to employment-related Personal Information collected about employees, job applicants, contractors, or similar individuals; however, it does apply to Personal Information of California residents collected about individuals when operating in their business-to-business (B2B) capacities. Additionally, this Privacy Notice does not apply to third party data practices where you interact directly with those third parties, such as a website that may be linked from our website, or companies where we may jointly offer a cobranded product or service.
For purposes of this Privacy Notice, “Personal Information” or “PI” is any information that identifies, relates to, describes, or is capable of being associated with, or could be reasonably linked to a consumer or household. “Sensitive personal data” or “SPI” includes certain special categories of data subject to additional regulatory requirements and protections under certain potentially applicable state laws, such as precise geolocation information, union membership, racial, ethnic, religious, or health information.

- Safety / Physical Security – We may disclose, where permitted by law, your personal information to our affiliates and other persons and entities for the purpose of protecting the rights, safety, security, and property of our customers, team members, and the public. Opting Out of the Sale, Sharing, or Use of Personal Information for Targeted Advertising

Please note that the provision of certain benefits of the loyalty program results in the disclosure or “sale” of certain personal information to support rewards and other loyalty program operations.
Notwithstanding anything else in this notice, we may share data that has been aggregated or deidentified in such a manner that it is no longer considered personal information for any purpose. We maintain and use such data in de-identified form and do not attempt to re-identify the data. We may also disclose information about you, including personal information, where you have been provided notice and/or asked for consent as required by law.

Sources of Collection and How We Collect Personal Information
PTC utilizes various technical and non-technical sources to collect your PI.
We may collect your PI directly from you in the following situations, without limitation:
- You complete transactions at PTC owned or operated travel centers, and other facilities;
- You visit our corporate office, travel centers, or other businesses;
- You use one of our services (e.g., Truck Care, Shower Reservations, when you charge at one of our EV charging stations, etc.);
- You interact with us through our Electronic Platform (e.g., Pilot Flying J mobile app, website, email, social media, Wi-Fi-access, myRewards Loyalty Program, or Prime Parking® Program (including all of their respective content and services));
- You communicate with us by USPS mail;
- You enroll and participate in any of our loyalty programs including, but not limited to: myReward Plus™, Pilot Flying J Good Sam RV Plus Card Program, etc.;
- You enter a PTC contest or sweepstake;
- You use our in-store guest Wi-Fi service;
- You use location-based features via computer, mobile device, or while using the Pilot Flying J mobile application;
- You use the Pilot Flying J mobile application to create and/or update a user profile;
- You use the wallet feature in the Pilot Flying J mobile application;
- You contact guest services;
- You submit a risk claim; and/or
- You otherwise voluntarily provide us or any third parties, on our behalf, with information (e.g. surveys).
In addition to collecting PI directly from you, we may also collect your PI from these categories of sources:
- From our affiliates and service providers;
- From third-party verification services;
- From on-premise surveillance systems;
- From third-parties with whom coordination is required to complete a transaction, such as providing billing information to credit card issuers;
- From law enforcement or regulators for safety and security purposes;
- From financial institutions and credit bureaus to complete a transaction, such as providing billing information to credit card issuers; and/or
- Through the use of technology (e.g. your IP address, interest-based advertising, cookies, web beacons, pixel tags, tracking technologies, and geolocation services).
Safeguarding Collected Information (Keeping Information Safe)
To protect the PI PTC collects or transmits, PTC uses reasonable security measures, including physical, technical, and procedural safeguards.
Please note, however, that while PTC uses reasonable security measures, no method of transmitting or storing electronic information is ever completely secure, and thus we make no warranty, express, implied, or otherwise, that your information will never be accessed, used, or released in a manner that is inconsistent with this Privacy Notice. We also use reasonable security measures when verifying a consumer privacy request and/or transmitting PI to a consumer in response to a consumer privacy request.
Personal Information Collection for Minors
Our products and website are not directed to minors under the age of 13 and we do not knowingly collect or sell the PI of consumers less than 16 years of age. PTC and some of our third-party business partners (such as advertising services and analytics providers) use cookies, web beacons, pixels, and other tracking technologies when you interact with our emails, visit any of our websites or use any of our Pilot Flying J mobile applications. Mobile application tracking may include a variety of technologies like software development kit (SDK), device identifiers such as mobile ad IDs (MAID), or identifiers for advertisers (IDFA) that associates your user activity on a given app and helps us track activity across multiple apps and/or devices.
Device and Activity Monitoring
We may use technologies that monitor and record your interactions with our websites and mobile apps, such as your keystrokes and click-related activity. These technologies may also collect and analyze information from your device, such your operating system, plug-ins, and system fonts.

PTC may use analytics providers - like Google Analytics, Adobe Analytics, or others - to obtain analytical information about our websites and applications. Communications Opt-Out

If you have opted into receiving SMS text communications, you can opt out-out by replying STOP to a received SMS message. You will receive a response confirming that you have been unsubscribed.
Do Not Track
We do not recognize the Do Not Track (DNT) signal. We do recognize the Global Privacy Control (GPC) signal which gives users the ability to opt out of the use of tracking technologies and communicate those preferences to any website they visit.
Rights And Choices About How We Use And Disclose Your Information
PTC values you, our guests, and appreciates the opportunity to serve you. In addition to understanding how we secure and process your data, we also want you to understand rights and choices regarding the PI that you have shared with us. There are laws in Canada and numerous US states that provide the following rights (subject to certain exceptions). Pilot accepts the following qualified individual rights requests from all our guests, even if their state has no comprehensive privacy law:
- Right to Access - the right to know the PI we have collected about you or the right to confirm whether we are processing your PI
- Right to Delete - the right to delete the PI we have collected about you
- Right to Rectify - the right to correct/amend PI we have collected about you
- Right to Restrict - the right to limit the use or disclosure of certain categories of PI Right to a Portable Copy - the right to request a copy of the PI we have collected about you
- Right to Opt Out of Sale or Sharing – the right to opt-out of the sale or sharing for cross-context behavioral advertising of PI we have collected about you (dependent on your location)
- Right to Opt Out of Targeted Advertising (dependent on your location)
- Right to Withdraw Consent (Canada only) – the right to withdraw your consent to the collection, use, or disclosure of your PI
We will respond to these requests consistent with applicable data privacy laws in your state or jurisdiction, many of which limit the scope of these rights. If you are a resident of a state or jurisdiction without such laws, we will respond in a manner that is consistent with limitations or restrictions under data privacy laws in another state or jurisdiction.
In addition, there are rights offered under some state data privacy laws which we only provide to residents of those states, on or after the effective date of those laws:
- Residents of Oregon and Minnesota may request that we identify the third parties to which we have disclosed personal information.
- Residents of some states with data privacy laws may appeal denials of any data subject rights offered to them under their state’s data privacy law.
- With reference to California Civil Code Section 1798.83, also known as the “Shine the Light” law, we allow California residents to opt out of the disclosure of personal information to third parties for those third parties’ direct marketing purposes. To exercise that opt-out option, click here.
NOTE: The information you submit in a privacy rights request form must match the information you used when you opened your account. If we are unable to match the information submitted to the information we have collected, we may not be able to fulfill your request.
If a request is submitted in a manner that is not one of the designated methods for submission, or if the request is deficient in some manner unrelated to our verification process, we will provide you with specific directions on how to submit the request or remedy any deficiencies with the request, as applicable.
If requests from a consumer are manifestly unfounded or excessive, in particular because of their repetitive character, we may either (1) charge a reasonable fee, or (2) refuse to act on the request and notify the consumer of the reason for refusing the request. If we charge a fee, the amount will be based upon the administrative costs of providing the information or communication or taking the action requested.
PTC will not discriminate against consumers for exercising any of the rights described herein. This includes denying goods or services, charging different prices, or providing a different level or quality of service. However, PTC can offer consumer’s different rates (or service) if that difference is reasonably related to the value of the consumer’s data. See our Notice of Financial Incentive below for more information.
Identity Verification
PTC will process certain individual rights requests only after your identity can be verified. Please note that there may be instances where access to your PI may be restricted by law or by our policy to respond to requests made by residents of states without a data privacy law in a manner consistent with existing state data privacy laws. If we are unable to verify your identity, we may request additional information for the express purpose of validating your identity. If we do not fulfil your request for the disclosure of all or some of your PI, we will advise you of the specific reasons for restricting access, barring any legal or regulatory limitations.
After submitting the request form for requests other than opt-out requests, you will be asked to electronically verify your identity. If you complete verification successfully, your request becomes live in the Privacy Portal. If you are unsuccessful at the initial verification attempt, PTC may require you to submit additional information, such as first name, last name, date of birth, address, phone number, or email address. Once verified, the Privacy Office will begin to process your request.
Access Rights – Requests to Know
The Right to Access Personal Information Collected, Disclosed, or Sold
You have the right to request that PTC disclose the PI we collected about you. Upon the receipt of a verified request and in accordance with our data retention practice, we will provide the following:
- Categories of PI we collected about you;
- Categories of sources for the PI we collected about you;
- Our business or commercial purpose for collecting, sharing, or selling that PI;
- Categories of third parties with whom we disclose that PI; and
- Specific pieces of PI we collected about you.
For Delaware and Maryland residents, if requested we will also provide a list of the categories of third parties to which we have disclosed your personal information.
We will not provide specific pieces of PI if the disclosure creates a substantial, articulable, and unreasonable risk to (1) the security of that PI, (2) the consumer’s account with us, or (3) the security of our systems or networks. We will not disclose Social Security numbers, driver's license numbers, other government-issued identification numbers, financial account numbers, health insurance numbers, medical identification numbers, account passwords, and security questions and answers.

Right to Delete
You have the right to request that PTC delete any of your PI that we collected from you and retained, subject to certain exceptions. We respect your right to request the deletion of your PI and would like to inform you of what happens if we are able to honor your request. If you choose to delete your PI, this will result in us deleting your PI from the associated loyalty account. As a result of the deletion of your PI, you will:
- 1Forfeit your points and forfeit the ability to earn new points;
- Forfeit your credits and the ability to earn new credits, including, but not limited to: parking, showers, Wi-Fi, and coffee;
- Forfeit the ability to log in to the Pilot Flying J mobile app and all associated non-guest mode features (i.e., mobile fueling, mobile shower reservations, myOffers program - including saving and redeeming offers);
- Forfeit the ability to log into PTC WiFi;
- Forfeit the ability to reserve a parking space online;
- Forfeit the ability to get a receipt at the kiosk after 24 hours or at a different store;
- Forfeit the ability to reserve a shower at the kiosk or in the Pilot Flying J mobile app;
- Forfeit the ability to access the loyalty portal and perform functions within the loyalty portal, including, but not limited to: saving offers and checking point balances;
- Forfeit the ability to reserve or print a slip for a Prime Parking space at the kiosk;
- Forfeit the right to participate in some loyalty-based sweepstakes; and
- Forfeit all rewards, perks and discounts tied to loyalty, including, but not limited to loyalty-based fuel discounts.
NOTE: After a request is completed, it is your responsibility to remove the Pilot Flying J Application from your devices, as information may still be gathered by Pilot Travel Centers LLC if it remains installed.

Fulfilling Deletion Requests
Once your request has been verified, Pilot removes your personal identifiers and retains the remaining data for analytics, system maintenance and performance management. Your personal information will be deleted from archives and backups if the archive or backup are restored for production processing. Pilot will not attempt to reidentify any data for which a deletion request has been fulfilled.
If we deny your request, we will (1) inform you that we will not comply with the request and describe the basis for the denial, including any applicable statutory and regulatory exceptions; (2) delete the PI that is not subject to the exception; and (3) not use the PI retained for any other purpose than provided for by the applicable exception(s).

We partner with other companies and businesses to deliver interest-based ads to you, which enable us to provide our services and relevant offers to you.
Please note that the provision of certain benefits of the loyalty program results in the disclosure or “sale” of certain personal information to support rewards and other loyalty program operations.
Unless you expressly opt out of the use of cookies and other tracking mechanisms, we may disclose (sell/share) your personal information for the purposes of cross-context behavioral/targeted advertising. Specifically, we may disclose your IP address, browser information and other device information relating to your interaction with our Electronic Platform. Otherwise, PTC does not engage in selling your personal information for monetary gain.

Upon receiving a request to opt-out, we will act upon it as soon as feasibly possible and in accordance with any applicable law. We will notify third parties to whom we have sold/shared your PI to the extent required under applicable law. We will notify you when this has been completed.
If we have a good-faith, reasonable, and documented belief that a request to opt-out is fraudulent, we may deny the request. In this scenario, we will inform the requesting party that we will not comply with the request and provide an explanation of why we believe the request is fraudulent.
Opting-In After Opting-Out of the Sale or Sharing of Personal Information or Targeted Advertising
If you have previously opted-out of the sale or sharing of or use of your PI for targeted advertising and would like to opt-in, you can do the following:
- If you are a Loyalty member, you can change the setting in your Loyalty account, via the Loyalty Portal.
- If you are not a Loyalty member, you opt-in by registering for a Loyalty account.
- If you are not a Loyalty member and do not wish to become one, you can opt in by going to our website and enabling all options in your cookie selections.
Authorized Agents
Authorized Agents may submit opt-out requests for consumers under several state data privacy laws; this is not an option that is available under the laws in Iowa, Texas, Utah, or Virginia. Authorized Agents may submit all types of data subject requests on behalf of a California resident; they may not submit requests other than opt-out requests on behalf of residents of other states. To submit a request as an Authorized Agent on behalf of a consumer, please contact our Privacy Office at privacy@pilotflyingj.com.
If you are a California resident and you use an agent to request access to, deletion, or correction of your personal information, the agent will need to provide us with your signed permission indicating the agent has been authorized to submit the request on your behalf. We will also require that you verify your identity directly with us or confirm with us that you provided the agent with permission to submit the request. We may deny a request from an Authorized Agent that does not submit proof that they have been authorized by the consumer to act on their behalf.
When We Do Not Act on a Request – Appeal Process
In some cases, we may not act on your verified requests (e.g., if we cannot do so under other laws that apply). When this is the case, we will explain our reasons for not providing you with the information or taking the action (e.g., correcting data) you requested.
Additionally, residents of some states with data privacy laws may have the right to appeal our decision by contacting us at privacy@pilotflyingj.com within 30 days after your receipt of our decision. Please provide us with the case ID number and the full name exactly as submitted on the original request.
Precise Geolocation Opt-Out
If you wish to opt-out of precise geolocation for the purpose of locating nearby travel centers and corresponding fuel pricing online or through the myRewards Plus mobile app, you must do so by disabling precise geolocation in your device settings.
Opt-out Preference Signals
An opt-out preference signal is sent by a platform, technology, or mechanism on behalf of consumers and communicates a consumer’s choice to opt out of the sale and sharing of personal information for cross-context behavioral advertising with all businesses that recognize the signal, without having to make individualized requests. The signal can be set on certain browsers or through opt-out plug-in tools.
We recognize the Global Privacy Control signal. We do this at the browser level, so it does not apply to personal information we may collect offline or that we may associate only with your name or email address. This means that if the signal is sent through a specific browser, we will recognize it for that browser only, and only with respect to the identifiers for that browser. If you would like more information about opt-out preference signals, including how to use them, the Global Privacy Control website has such information (https://globalprivacycontrol.org/).
Notice of Financial Incentive and Loyalty Program Disclosures
PTC provides many special offers and discounts to loyalty members throughout the year. By providing your contact information and enrolling in our loyalty program, you join the many consumers who enjoy discounts and savings. You can review additional Terms and Conditions here. Consumers enrolling in the loyalty program initially provide the following category of PI: Personal Identifiers.
When you enroll in any of our loyalty program(s), the personal information we collect may be shared with third parties in order to provide some of the services you receive as part of the loyalty program and to ensure our website and mobile application perform as intended. When you participate in the loyalty program, we may share your personal information with the following:

Participation in our loyalty programs is voluntary. By signing up, you affirm that you at least 18 years of age and consent to the collection, use, sale, sharing, and retention of your personal information in connection with the program. Why we collect, how we collect, how we disclose, and how we protect your personal information are further described in our privacy notice. Our loyalty programs are valuable to us as they help us to understand what matters to you, our customer. In determining the value of your information to us, we consider the profit generated from our product and service offerings that use personal information, which is reasonably related to the value provided to you, the consumer, through personalized coupons, promotions, and other discounts or offers. As part of our loyalty programs, the Pilot customers who engage the most save more than $400 per year on average based on our review of customer data collected through the Loyalty Program.

Notice to Canadian Residents – Amendment and Withdrawal of Consent Requests
As a resident of Canada, in addition to the Access and Do Not Sell or Share My Personal Information rights mentioned in this Privacy Notice, you also have the right to request the amendment of your PI, if you believe it is inaccurate, and the right to withdraw consent for the collection, use, and disclosure of your PI.

Process to Verify Withdrawal of Consent Requests
To verify the identity of the individual who has made a Withdrawal of Consent request, PTC may require individuals to submit additional information. PTC may ask individuals to provide: first name, last name, date of birth, address, phone number, and email address. After providing the information necessary to complete the request, you will be verified with a third-party identity verification service. Once this request has been verified, the Privacy Office will begin to process your request.
